Identify the information you actually need
Write whether the question concerns an originally filed return, account activity, or reported source information for a period. IRS transcript types have different contents, so a document labelled transcript may not answer every question. Consult the current official type descriptions before requesting a record, and keep the notice or task that prompted retrieval available for comparison.
Retain the record’s identity after obtaining it
Label the type, tax period, and date obtained. Do not assume that a transcript replaces every original statement or establishes that an unfamiliar entry is correct. Keep supporting documents needed to explain the particular issue, marking gaps or inconsistencies for review. If the record will be shared, clarify why that version is relevant and confirm an appropriate recipient and channel. Retain an index of what is supplied. A well-chosen record supports an examination; it does not calculate a new liability or resolve an account question by itself.
A document’s purpose does not travel reliably when its type and period are left behind.
